About this policy

Sen Spa by Yen Linh is a boutique spa in Hartland, New Brunswick, offering massage, facials, hand and foot care, and Japanese head spa treatments.

This policy explains what personal information we collect, why we collect it, and how we look after it. We are a small, locally owned business. We collect what we need to book your appointment and treat you safely, and very little beyond that.

What we collect

When you contact us. Our website has a contact form that asks for your name, email address, phone number and your message. If you call or message us instead, we take whatever you tell us — usually your name, a phone number, and the treatment and time you would like.

When you book and visit. We keep a record of your appointments. Before a treatment we ask about anything relevant to your comfort and safety, and we may note your preferences so your next visit is easier.

When you buy a gift certificate. We record the amount and the date, and the recipient’s name if you would like us to prepare it for someone.

When you pay. Payment is taken at the spa. Nothing on our website processes payments.

When you browse our website. Like most websites, ours records basic technical information such as your IP address, browser type and the pages you look at. Some of this comes from the ordinary operation of the site and its hosting. Some of it is collected by Google Analytics, which we use to see how people find and use the site. There is more on that below.

We do not sell your personal information, and we do not share it so that anyone else can market to you.

Health and treatment information

Massage, facials and scalp treatments are hands-on services, so there are things we need to know before we begin. Allergies, injuries, pregnancy, skin conditions, recent medical or cosmetic procedures, medications and ongoing health conditions can all affect what is suitable for you.

Health information is sensitive and we treat it that way. We use it only to decide whether a treatment is appropriate, to adapt it to you, and to keep a record for your future visits. We do not share it outside the spa unless you ask us to, or unless the law requires it.

Sen Spa does not diagnose or treat medical conditions. If something you tell us suggests you should speak with a doctor or another health professional first, we will say so rather than proceed.

How we use your information

We use personal information to:

  • reply to your enquiries
  • book, confirm and change appointments
  • provide your treatment safely and adapt it to you
  • take payment
  • manage gift certificates
  • understand how our website is used so we can improve it
  • protect the spa and our website from fraud, abuse and spam

Your consent

In most cases you give us your information directly and your consent is clear from the situation — you fill in the contact form, or you tell us on the phone when booking. Where information is sensitive, such as health information, we will make sure you understand why we are asking for it.

For website analytics, this policy is your notice. If you would rather not be counted, the Cookies section below explains how to opt out.

You can withdraw your consent at any time by contacting us. Some things we cannot undo: if you withdraw consent to us holding health information, we may not be able to treat you safely, and we may need to keep certain records for as long as the law requires.

Emails and messages

We do not currently send marketing emails or a newsletter, and there is no signup form on our website.

If that changes, we will follow Canada’s Anti-Spam Legislation (CASL). We will ask for your consent first, identify ourselves clearly in every message, and include a working unsubscribe link. Unsubscribing will never affect your ability to book a treatment.

Messages about an appointment you have already booked — a confirmation, a reminder, a change — are part of the service rather than marketing.

Cookies and website data

Our website uses cookies. Some are needed for the site to work properly, such as remembering your display preferences. Others come from the services described in the next section.

Google Analytics sets cookies that let us see how many people visit, which pages they read, roughly which region they are in, and how they found us. We use this to make the site more useful. We have not turned on Google’s advertising or remarketing features, and we do not run advertising cookies of our own.

Google reCAPTCHA protects our contact form from automated spam. It sets its own cookies and collects information about your browser and how you interact with the page.

Our hosting provider sets two cookies, _tccl_visitor and _tccl_visit, which count visits to the site.

We do not use cookies to build an advertising profile of you or to follow you around other websites.

Most browsers let you block or delete cookies. Doing so may affect how parts of the site behave. If you would rather not appear in our analytics at all, Google offers a browser opt-out add-on at tools.google.com/dlpage/gaoptout.

Third-party services

A few outside services help us run the website. When these load, they receive your IP address and basic browser information:

  • our web hosting provider, which stores the website and any contact form submissions
  • Google Analytics, which measures how the site is used
  • Google reCAPTCHA, which protects the contact form from automated spam
  • Google Fonts and Adobe Fonts, which supply the typefaces the site uses
  • An embedded Google map on our Contact page
  • Akismet, which checks contact form submissions for spam
  • Gravatar, which supplies profile images where the site calls for one

Our footer links to our Facebook page. Clicking it takes you to Facebook, where Facebook’s own privacy practices apply. We do not run a Facebook tracking pixel on our website.

Each of these companies has its own privacy policy. We choose services we consider reasonable for a business of our size, but we do not control how they operate.

Information held outside Canada

Several of the services above are run by companies based outside Canada, mainly in the United States. That includes Google, which handles our analytics, fonts, map and spam protection. Information handled by those services may be stored or processed outside Canada.

Keeping your information safe

We take reasonable steps to keep your information secure. Paper records are kept where clients and the public cannot see them. Digital access is limited to the people who need it. Our website is served over an encrypted connection.

We are not going to tell you our systems are perfectly secure, because nobody can honestly say that. What we can say is that we treat client information as private, we keep only what we need, and if something ever went wrong we would tell you and take it seriously.

How long we keep it

We keep personal information only as long as we need it for the purpose it was collected, or as long as the law requires — whichever is longer. Financial records are kept for the periods required for tax purposes. When information is no longer needed, we destroy or delete it.

Seeing or correcting your information

You have the right to ask what personal information we hold about you, to see it, and to have it corrected if it is wrong. Just ask, and we will help.

We may need to confirm who you are first, and there are narrow situations where the law allows us to withhold something. If we cannot give you what you have asked for, we will explain why.

Younger clients

Our website is intended for adults, and we do not knowingly collect personal information from children through it. Where we treat a client under the age of majority, we ask that a parent or guardian be involved in the booking and consent to the treatment.

Changes to this policy

If our practices change – for example, if we add online booking, start a newsletter, we will update this policy and change the “Last Updated” date.
